Job Title: Medical Record and Billing Officer

Job Summary

The Medical Records and Billing Officer will be responsible for maintaining accurate and up-to-date patient records, ensuring proper documentation, and processing billing in line with hospital policies and healthcare regulations.

The role requires attention to detail, strong organizational skills, and the ability to work with both clinical and administrative teams to ensure efficient record management and accurate billing for services rendered.

Key Responsibilities

  • Create, organize, and maintain patient records in both electronic and physical formats.
  • Ensure accurate entry of demographic, medical, and treatment information into the hospital database.
  • Retrieve and update patient files promptly for attending healthcare professionals.
  • Maintain confidentiality and comply with data protection laws and hospital policies. Ensure all medical documentation is complete, legible, and filed appropriately.
  • Archive inactive records and maintain a secure filing system.
  • Generate and review bills for accuracy based on medical services provided.
  • Verify insurance coverage and obtain necessary pre-authorizations where applicable.
  • Submit claims to health insurance providers and follow up on approvals and payments.
  • Reconcile patient accounts, process payments, and issue receipts.
  • Identify and correct billing errors to avoid revenue loss.
  • Prepare regular billing reports for management review.
  • Collaborate with clinical staff to clarify documentation for accurate coding and billing.
  • Stay updated on healthcare coding standards (ICD, CPT) and billing regulations.
  • Ensure compliance with all legal, ethical, and hospital requirements in records and billing management.
  • Support internal and external audits by providing requested documentation.

Qualifications & Requirements

  • Minimum of a Diploma or Bachelor’s degree in Health Information Management, Medical Records, Accounting, or related field.
  • Certification in Health Records Management or Medical Billing is an advantage.
  • At least 3 years of experience in medical records and billing, preferably in a hospital setting
  • Proficiency in hospital information systems (HIS) and Microsoft Office Suite.
  • Strong attention to detail, accuracy, and organizational skills.
  • Good communication skills and ability to work with diverse teams.
  • Knowledge of insurance claims processing and medical coding standards.

Working Conditions;

  • Standard office hours with occasional extended hours depending on workload.
  • Interaction with both patients and healthcare professionals.

Salary

N180,000 - N200,000 / month.
