Job Title: Senior Coordinator, Project Support

Purpose of the Position

  • The Senior Coordinator, Project Support is responsible for providing day-to-day support to Project and Program Managers to assure that all projects in eHA’s portfolio are delivered at high quality, in line with contractual requirements, and in compliance with established processes and standards.
  • S/he will identify, flag, and help to resolve blockages and risks for successful project delivery early on and proactively.
  • S/he further plays a key role in business development by contributing technical expertise and writing to project proposals and by supporting eHA’s communications team with requested write-ups on eHA projects, activities, and impact.
  • The Senior Coordinator, Project Support continuously interacts with eHA’s Program Delivery, Business Development, Communications, Informatics, Operations and Finance, and Administration departments to identify bottlenecks, gaps, and challenges with existing organizational processes, and proposes practical solutions to address and resolve them.

What You’ll Do  

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned:

  • Coordinate, write and review project proposals
  • Work closely with program managers, project managers, and other project support functions to monitor, facilitate, and assure:
  • Compliance with eHA’s project management method, requirements, and standards at all times during project delivery (active support and problem-solving function)
  • Timely production of contractual deliverables to clients (monitoring and control function)
  • Ensure and validate the quality of all project documentation and project management products across eHA portfolio by continuously administering and improving the appropriate in-house processes and tools, e.g. “Health Checks tool”
  • Continuously identify and track project issues, bottlenecks, challenges, and risks; escalate to management or resolve as appropriate
  • Regularly prepare a variety of technical, management, activity, and status reports for a number of internal and external stakeholder groups  
  • Contribute to any other internal and external communications output, e.g. website content, blogs, newsletters, marketing materials/email, presentations, and pitch decks  
  • Develop process and subject-matter guides, playbooks, SOPs, and workflow documents as required  
  • Develop learning materials and deliver in-house trainings within the role’s technical field of work
  • Collection, analysis, and visualization of project, business, and operational data as required specifically for targeted communications and reporting requirements
  • Assume additional responsibilities as assigned

Who You Are

The requirements listed below are representative of the knowledge, skill, and/or ability required to successfully perform this job:

  • College or University Degree in the Social Sciences, Statistics, Business Administration, Economics, Public Health or another relevant field; a Masters degree is an advantage
  • Minimum 4 years of work experience with demonstrated results in project, program and/or portfolio management; a combination of non-profit and for-profit sector experience preferred
  • Minimum 2 years of work experience with demonstrated results in data collection, data analysis, data visualization, survey design, statistics and/or field-level M&E or quality assurance
  • Advanced computer skills, particularly in Excel / Google Sheets, database, and statistical applications
  • Strong technical writing skills, including management and/or programmatic reports, project proposals, scientific manuscripts, SOPs and/or manuals; you will be asked to submit at least 2 samples/documents if your initial application speaks to us
  • Demonstrated research and presentation skills; at least one presentation given at an external event (conference, panel, etc.); please provide an example on your CV.
  • Experience designing and delivering trainings/workshops; please provide an example on your CV.
  • Excellent interpersonal, communication, critical thinking, problem-solving, team working and team-building skills; excellent organizational and time management skills
  • Demonstrated ability to create (e-)learning content and materials is an advantage.

Certifications and Licenses:

  • Any standard project management certification required; PRINCE2 given strong preference.  
  • Additional Program or Portfolio Management certification is an advantage
  • Additional Agile certification is an advantage.
